Who this notice covers
This page explains information that may be collected through the Foundation website and Volunteer account flows. Contact enquiries are handled separately through the Contact page.
What we may collect
Depending on the Volunteer process you use, we may collect:
- your name
- contact details, including email address and phone number
- date of birth, to confirm the 18+ eligibility policy
- address and other profile details you choose to provide
- Volunteer application information, including availability, interests, and your reason for volunteering
- emergency contact details if you provide them
- a Volunteer profile photo
- identity or credential-related documents created for Volunteer administration, such as a Foundation-issued Volunteer ID PDF
- authentication and security metadata needed to operate the account, such as session timing and security event records that do not include message contents or passwords
Why we collect it
We use this information for Volunteer enrollment, eligibility review, communication, account management, identity and credential administration, safety and security, and ordinary recordkeeping.
Private files
Volunteer photos and credential PDFs are stored in private storage. They are not intended for public access and are available only through authorised application flows, such as your own Volunteer account or a limited administrative review path. We do not publish public file links for these records.
Retention
We keep Volunteer information only for as long as it is reasonably needed for Volunteer administration, security, audit, legal, or operational purposes. Rejected, abandoned, replaced, or expired Volunteer files may be removed after defined retention periods. We do not claim a specific statutory retention period on this page.
Correction or deletion requests
If you need a correction or want to ask for deletion or anonymisation of Volunteer information, email kamdhenugauseva26@gmail.com. Requests are reviewed by the Foundation. Some limited records may need to be retained in anonymised or audit form where that is necessary for security, history, or operational integrity.
Security
We apply reasonable technical and organisational safeguards to protect Volunteer information. No method of transmission or storage can be guaranteed as completely secure.
Service providers
The Foundation uses specialist service providers to operate the website, including website hosting, private object storage for Volunteer files, and transactional email. Those providers process information only as needed to deliver those services. This notice does not publish account credentials or internal configuration.
Volunteer terms
Volunteer participation is also described in the Volunteer terms.
